Tour & Travel Booking Terms & Conditions
Ultimate Wild Safaris Ltd
These Terms and Conditions govern all bookings made with Ultimate Wild Safaris Ltd. By confirming a booking, the client agrees to be legally bound by these terms on behalf of themselves and all participants in the booking.

1. Booking & Deposit
- A 30% deposit is required to confirm any tour booking.
- Full payment is required 21 days before departure.
- Bookings made within 21 days must be paid in full immediately.
- All bank charges are the responsibility of the client.
2. Booking Confirmation
A booking is confirmed only after:
- The deposit is received, and
- Written confirmation is issued by Ultimate Wild Safaris Ltd.
The lead traveller confirms they are authorised to book for all participants.
3. Cancellation Policy
Cancellation charges apply as follows:
- 35+ days before departure: No charge
- 11–34 days: 30% fee
- 3–10 days: 50% fee
- Less than 48 hours: 100% fee
Tailor-made tours may have separate cancellation rules.
4. Travel Insurance
Travel insurance is mandatory and must cover:
- Medical emergencies
- Evacuation & repatriation
- Trip cancellation and loss
The company does not provide insurance.
5. Health & Fitness
Clients must:
- Ensure they are medically fit for travel
- Consult a doctor for vaccinations and health advice
- Understand that travel may involve remote areas with limited medical facilities
6. Special Requests
Dietary, accommodation, or special requirements will be considered but cannot be guaranteed.
7. Prices & Surcharges
- Prices may change due to fuel, taxes, or supplier costs up to 30 days before departure.
- Clients may accept the change or cancel for a refund.
- Discounts apply only to new bookings.
8. Tour Changes & Cancellations by Company
The company may:
- Adjust itineraries due to weather, safety, or operational reasons
- Substitute accommodation of equal or higher standard
- Cancel tours in rare cases and offer:
- Alternative tour
- Refund
- Equivalent replacement
No liability is accepted for indirect costs (flights, visas, etc.).
9. Client Cancellation or Transfer
- Tours may be transferred to another person (14 days’ notice required).
- Additional costs may apply.
- Cancellation fees still apply as per policy.
10. Travel Risk & Responsibility
Adventure travel involves inherent risks. Clients:
- Accept full responsibility for participation
- Must follow all safety instructions
- Are liable for any damage caused during travel
11. Complaints
- Must be reported immediately during the tour
- Written complaints must be submitted within 30 days after tour completion
12. Third-Party Services
Hotels, airlines, and activity providers are independent suppliers.
The company is not responsible for its actions or service delivery.
13. Liability
The company is not liable for:
- Loss of belongings
- Injuries caused by third parties or force majeure
- Delays or cancellations outside its control
14. Force Majeure
The company is not responsible for disruptions caused by:
- Weather
- Political instability
- Natural disasters
- Strikes or transport failure
- Government restrictions
15. Images & Marketing
By joining a tour, clients consent to photos/videos taken during the trip being used for marketing purposes unless otherwise requested in writing.
16. Amendments
These terms may be updated at any time. Continued use of services confirms acceptance of updated terms.
